Refund Policy

Our refund policy lasts until midnight 31/1/2023 where up until this date the withdrawn competitor will be refunded the entry fee minus $15 administration fee. If you withdraw past this date, unfortunately, we cannot offer you a refund.

 To be eligible for a refund, you must notify the Race Director in writing via the contact us tab on our website www.bellarinesunsetrun.com. We will ask you to provide BSB and Account No for the refund.

Please note refunds will be processed weekly on Sundays and may take a day or 2 to hit your account.

Transfer Policy

For the 2023 event, we are offering a transfer window for participants to be able to transfer their entry to a friend. This will incur a $10 transfer fee, the new participant will be required to complete the registration process so we can capture critical medical and emergency information.

Withdrawal Policy (on the day)

If a competitor withdraws from the Event, they must advise the course officials of their withdrawal immediately. This will allow us to see you are safe and can direct you to appropriate assistance if required.

 It will also save time and the heartache of officials searching the course for non-finishers when they are already back having a cider. Failure to notify may jeopardise your future entry into the event.

When you register for our event, as part of the buying process, we collect the personal information you give us such as your name, address, and email address. We may send you emails about our other event-related topics & updates.

You may withdraw your consent for us to contact you, for the continued collection, use, or disclosure of your information, at any time, by contacting us at info@bellarinesunsetrun.com

We reserve the right to modify this privacy policy at any time, so please review it frequently. Changes and clarifications will take effect immediately upon their posting on the website. If we make material changes to this policy, we will notify you here that it has been updated, so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we use and/or disclose it.

Cancellation Policy

COVID-19 Cancellation

If the event is cancelled as a direct result of DHHS and Victorian State Government restrictions the participant’s registration will be refunded the entire entry fee minus the $15 administration fee.

Weather Cancellation

Our participants’ safety is the most important thing and if any of the threatening weather conditions listed below are present on the day of the event, the event may be delayed or cancelled. There is an opportunity to schedule for the following morning if required, this would see the least impact on accommodation and travel arrangements.

Threatening Weather Conditions

Flying Brick Bellarine Sunset Run will be cancelled or delayed if any of the following weather conditions exist:

Extreme Heat, Thunderstorm/Electrical Storm, “Heavy” Rain, other major weather condition.

Start of the Race / Cancellation of the Event

The start of the event will be delayed if any of the above-mentioned conditions exist. The event will then be cancelled if any of the weather conditions persist: Extreme Heat or Thunderstorm/Electrical Storm.

Authority to Cancel the Event

The Race Director, in accordance with the Bellarine Bayside Foreshore Committee and the local law enforcement, has the authority to cancel the event. If threatening weather conditions force cancellation of the event, no refunds can be provided, since funds were already spent in preparation for race day and the event will be rescheduled.

Copy of Waiver

I know that running [volunteering for] a trail race is potentially hazardous activity, which could cause injury or death. I will not enter and participate unless I am medically able and properly trained, and by completing and paying my registration, I certify that I am medically able to perform this event, and am in good health, and I am properly trained. I agree to abide by any decision of a race official relative to any aspect of my participation in this event, including the right of any official to deny or suspend my participation for any reason whatsoever. I attest that I have read the rules of the race and agree to abide by them. 

 I assume all risks associated with running in this event, including but no limited to: falls, contact with other participants, the effects of the weather, including high heat and/or humidity, traffic and the conditions of the road including boat ramps and car parks, all such risks being known and appreciated by me. I understand that bicycles and animals are not allowed in the race and I will abide by all race rules.

You must NOT attend if you have fever or symptoms of respiratory infection (cough, sore throat, shortness of breath) • returned from overseas in the last 14 days • been in close contact with a confirmed case of COVID-19: (coronavirus) in the last 14 days 

Having read this waiver and knowing these facts and inconsideration of your accepting my entry, I, for myself and anyone entitled to act on my behalf, waive and release the Bellarine Sunset Run, the City of Greater Geelong, and the Bellarine Bayside Foreshore Committee, all event sponsors, their representatives and successors from all claims or liabilities of any kind arising out of my participation in this event, even though that liability may arise out of negligence or carelessness on the part of the persons named in this waiver. 

I grant permission to all the foregoing to use my photographs, motion pictures, recordings or any other record of this event for any legitimate purpose.
